Privacy Policy

At Clicka360, your privacy is not an afterthought. This page explains, in clear language, how we handle the information of people who use our platform to order, shop, and book services, and of the businesses who run their stores with us.

Last updated: 15 December 2025

1. Who we are

Clicka360 is a digital platform that connects users with restaurants, stores, and service providers in one simple place. Users can browse menus, products, or services and send their orders directly to businesses via WhatsApp. Vendors use Clicka360 to create a branded online storefront, manage offerings, and receive WhatsApp orders.

When we say "we", "us", or "our" in this policy, we mean the Clicka360 team that operates this platform.

2. Information we collect

We aim to collect only the information we actually need to run the platform, support your account, and improve the experience.

2.1. Information you provide to us

  • Vendor account details name, email, password (hashed), business name, contact details, and any other profile information you choose to share when you create or update a vendor account.
  • Business content menus, products, services, categories, descriptions, images, pricing, and branding elements you upload to your storefront.
  • Communication with our team messages you send through contact forms or support channels.

2.2. Information collected from users (customers)

Users do not create a Clicka360 account to place an order. When a user browses a store and sends an order via WhatsApp, we do not store the content of that WhatsApp conversation.

  • Browsing and interaction data pages visited, clicks on products or sections, and referral URLs, collected in an aggregated and/or pseudonymous way for analytics and performance.
  • Generated order summary when you tap "Order via WhatsApp", we temporarily generate a message containing the product or cart details. This is sent to WhatsApp and is not stored long‑term on our servers.

2.3. Technical information

  • IP address, device type, browser type, approximate location (country or city‑level), and language settings.
  • Log data such as access times, pages viewed, and error reports used to secure and improve the platform.

3. How we use your information

We use the information we collect for the following purposes:

  • To operate, maintain, and improve the Clicka360 platform.
  • To create and manage vendor accounts, authenticate logins, and provide access to the vendor dashboard.
  • To generate WhatsApp order messages on behalf of users so that orders can be sent directly to vendors.
  • To provide analytics and reports to vendors about visits, clicks, and orders on their storefronts (depending on their plan).
  • To respond to support requests, feedback, and communication from users and vendors.
  • To protect the security of the platform, prevent fraud, and enforce our Terms of Service.

4. Legal basis and how we share information

Where required by applicable law, we process personal data based on one or more of the following legal bases: your consent, our legitimate interest in operating the platform, or the need to perform a contract with you (for example, when you are a vendor).

We do not sell your personal information. We may share information with:

  • Service providers and infrastructure partners who help us host, secure, and operate the platform (for example, hosting providers, email services, analytics tools), under contractual obligations to protect your data.
  • Business partners (vendors) when you interact with a store or send an order via WhatsApp, you are sharing your information directly with that vendor according to their own policies.
  • Authorities or legal recipients when we are required to do so by law, regulation, or legal process, or to protect our rights or the rights of others.

5. Cookies and similar technologies

We use cookies and similar technologies to keep the site running smoothly, measure performance, and understand how visitors use Clicka360.

  • Essential cookies used for core functionality such as security and session management.
  • Analytics cookies help us understand traffic, visitor behavior, and feature usage so we can improve the experience.

Depending on your browser or device, you may be able to block or delete cookies. Doing so may affect how some features of the platform work.

6. Data retention and security

We keep your information only for as long as it is necessary for the purposes described in this policy, unless a longer retention period is required or permitted by law.

  • Vendor account and business data are kept while your account is active and for a reasonable period afterwards for record keeping, security, and legal compliance.
  • Technical logs and analytics data are kept for limited periods, typically in aggregated or anonymised form.

We implement reasonable technical and organisational measures to protect your data. However, no online service can guarantee absolute security. You are responsible for keeping your account credentials confidential.

7. Your rights and choices

Depending on your location and applicable law, you may have certain rights over your personal data, such as:

  • Accessing the personal data we hold about you.
  • Requesting corrections to inaccurate or incomplete data.
  • Requesting deletion of your data where applicable.
  • Objecting to or restricting certain types of processing.
  • Requesting a copy of your data in a portable format.

If you are a vendor and want to exercise any of these rights, please contact us using the details in the Contact us section below.

8. Vendors, WhatsApp, and third‑party services

When a user sends an order via WhatsApp, the conversation takes place directly between the user and the vendor using WhatsApp's services. WhatsApp is a third‑party platform with its own terms and privacy policy.

Vendors are responsible for how they handle customer information they receive via WhatsApp or other channels. We encourage vendors to communicate clearly with their customers and comply with applicable data‑protection and consumer‑protection laws.

9. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements.

When we make material changes, we will adjust the "Last updated" date at the top of this page and, when appropriate, provide additional notice (such as a banner on the site or an email to vendors).
